The challenge

Alkamda Investment managed a growing portfolio of commercial and residential units across multiple regions using spreadsheets, a standalone accounting package and WhatsApp groups. Nobody could answer simple questions like how many units were vacant, which leases expired next month or which tenants were overdue.

They needed one system to run the full lifecycle (project → property → lease or sale → invoicing → maintenance → landlord payout) with the numbers visible to management in real time.

Problems & solutions

Problem 1

Complex property hierarchy

Regions contained projects, sub-projects, buildings, floors and units, and each level needed its own reporting and access rules.

How we fixed it

We designed a dedicated hierarchical data model with parent/child computed statistics and record rules, so each manager only sees their region while leadership sees everything.

Problem 2

Recurring rent was invoiced by hand

Accountants spent the first week of every month creating rent invoices and chasing late payments manually.

How we fixed it

Rent contracts now generate invoices automatically on schedule (monthly, quarterly or yearly), apply late penalties and send reminder emails and WhatsApp messages with payment links.

Problem 3

No location or vacancy visibility

Sales and leasing teams couldn't see availability or location at a glance, leading to double-offers on the same unit.

How we fixed it

We added a real-time availability state machine (Available → Reserved → On Lease / Sold) and a geo-map view of the portfolio, so a unit can never be offered twice.

What we delivered

  • Region → Project → Sub-project → Property hierarchy with GPS coordinates
  • Rent contracts with draft, running, expired, extended and closed stages
  • Automated recurring invoicing, penalties and deposit handling
  • Property sales with installment plans and broker commissions
  • Maintenance requests with vendor assignment and cost tracking
  • Landlord statements and payouts, plus a statistics dashboard and map
