The challenge

Rwasem's project managers tracked budgets in spreadsheets that were weeks out of date. Material requests went by phone, subcontractor bills were checked manually against progress, and leadership only discovered overruns at project close.

They needed cost-to-complete visibility on every project, every day, and a faster path from site progress to client invoices.

Problems & solutions

Problem 1

Budgets disconnected from spending

Purchases and timesheets weren't tied back to BOQ lines, so actual-vs-budget was impossible to compute.

How we fixed it

Every BOQ line became an analytic budget line; purchase orders, stock moves, timesheets and subcontractor bills are all tagged to it, giving live actual-vs-budget per item.

Problem 2

Progress billing was slow and disputed

Interim payment applications took over a week to compile, delaying cash flow.

How we fixed it

Site engineers record measured progress per BOQ item; the system drafts progress invoices with retention, advance recovery and variations, ready for approval in minutes.

Problem 3

Site and office out of sync

Daily reports, photos and material requests were sent by WhatsApp and lost.

How we fixed it

A mobile site app records daily reports, labour, equipment, photos and material requisitions that flow straight into Odoo approvals.

What we delivered

  • Project → phase → BOQ item structure with analytic budgets
  • Material requisitions with approval matrix and stock reservation
  • Subcontractor contracts, measurements and bills
  • Progress invoices with retention, advances and variations
  • Mobile daily site reports with photos
  • Cost-to-complete and margin dashboards
