The challenge

Outpatient therapy clinics often run their EMR, billing and collections in separate systems. Therapists write notes in one tool, billers re-key codes in another, and errors only surface weeks later as denied claims. For a small clinic, every denial is revenue lost or time spent chasing it.

StrataPT's idea is a billing-aware EMR: the clinical record and the revenue cycle live on one platform, so the system can catch coding and documentation problems before a note is signed, not after the payer rejects the claim. The product had to serve PT, OT and SLP disciplines, stay fast during busy clinic hours, and protect patient data to HIPAA standards.

Problems & solutions

Problem 1

Denials caused by documentation gaps

Missing plan-of-care dates, mismatched diagnosis codes or timed-code minutes that don't add up only came to light after the claim was rejected.

How we fixed it

We built pre-sign checks into the note itself: timed-treatment minutes are converted into billable units, codes are validated against diagnoses and payer rules, and the therapist sees issues before signing.

Problem 2

Three disciplines, one product

Physical, occupational and speech therapists document very differently, and generic templates slowed them down.

How we fixed it

Customisable templates per discipline and visit type (evaluation, daily note, progress note, discharge), with carry-forward of previous findings to cut repeated typing.

Problem 3

Limited visibility into the revenue cycle

Clinic owners couldn't easily see what was billed, what was paid and where money was stuck.

How we fixed it

Reporting on billing, referrals and therapist productivity, with claim status tracking from submission to payment and a queue of claims that need action.

Problem 4

Sensitive patient data in the cloud

Protected health information must be secured at every layer while staying quick to access during a session.

How we fixed it

Role-based access, encryption in transit and at rest, audit logging of record access, and hardened AWS infrastructure behind a web application firewall.
